OpsMastery Summit is produced by HOC Events (“we,” “us”). This policy explains what information we collect through opsmasterysummit.com, our email lists, our surveys, and our events, how we use it, and the choices you have.
The short version: we collect what we need to run the conference and keep you updated about it, and we use it for that. We don’t sell your personal information.
1. Information we collect
Information you give us
- Early-access and updates signup: your email address and first name. You can also choose to share your interests (attending, speaking, sponsoring, volunteering, bringing a team), job role, company, company size, and the tracks you care about.
- Sponsor inquiries: your name, work email, company, job title, the sponsorship tier you’re interested in, and your message.
- Contact form: your name, email, the reason you’re writing, and your message.
- Volunteer applications: your name, email, and phone number (optional), plus the roles you’d like, your availability, shirt size, and prior experience.
- Speaker submissions (Call for Papers): your name, contact details, bio, photo, and talk proposal, collected through our CFP platform once the CFP opens.
- Surveys: we run research surveys before and after our events, such as our observability survey. They ask about your role, company size, industry, general location (for example, “Utah” or “Outside the US”), the tools and practices your team uses, and your opinions. Survey answers are anonymous. The survey doesn’t ask for your name or email and doesn’t record your IP address. If you want the results early or want to stay in touch, you can fill in a separate follow-up form afterwards with your email, first name, role, and company size. That form goes to our contact records and is not linked to your survey answers.
- Registration and tickets (once sales open): your name, email, company, job title, and ticket type, plus optional details that help us run the event, such as dietary preferences or accessibility needs. Payments are processed by our payment provider. We never see or store your full card number.
- Emails you send us, including replies to our emails.
Information collected automatically
- Where you came from. When you submit a form, we record the page you signed up on and, if present, the campaign tags in the link you followed (for example, utm_source=linkedin). This tells us which outreach actually works.
- Website analytics. We use Google Analytics to understand how people use the site. It records pages viewed, how long visits last, the browser and device type, the referring site, and your approximate location (city or region level). Google Analytics 4 does not log or store individual IP addresses. This data is collected through cookies and similar technologies (see section 6). We also keep standard security logs through our website platform.
- Email engagement. Our email platform records whether an email was delivered, opened, or clicked, so we can keep the list healthy and stop emailing people who aren’t interested.
At the event
- Photos and video. Sessions are recorded, and we take photos in public areas. See section 5.
- Badge scans. If you let a sponsor scan your badge, that sponsor receives your contact details. See section 4.
2. How we use it
- To send you what you signed up for: event updates, early-bird pricing, Call for Papers news, and other relevant news about OpsMastery Summit. If you told us you’re interested in speaking, sponsoring, or volunteering, you’ll also get information about that.
- To respond to you: inquiries, sponsorship conversations, speaker submissions, and volunteer applications.
- To run the event: registration, badges, check-in, dietary and accessibility planning, scheduling volunteers, and sending you logistics.
- To improve: we look at aggregate signup sources, email performance, and survey results to decide what to do better next time.
- To publish research: we publish survey results in blog posts, social media, email, press materials, and reports for sponsors. Results are always aggregated. We never publish an individual’s answers, and we never report a group smaller than 10 respondents. If we quote a written answer, it is anonymous and contains no name or company.
- To keep things safe and fair: enforcing our Code of Conduct, preventing spam and fraud, and meeting legal obligations.
Email you’ll get, and how to stop it. We only add you to a list you opted into. Every marketing email has an unsubscribe link that works immediately. Even after you unsubscribe, we may still send transactional messages about a ticket you bought or a submission you made, such as receipts, schedule changes, or safety notices.
3. The services we use
We use trusted providers to run the site and the event. They process your information only on our behalf, to provide their service:
- Zoho (Sites, Forms, CRM, Campaigns, Mail, and Backstage) for our website, forms, contact records, email lists and sending, email, and event registration.
- Google (Google Analytics and Google Search Console) to measure site traffic and see how our site appears in Google search. Google processes this data under its own privacy policy: policies.google.com/privacy.
- A payment processor for ticket purchases, once sales open.
- A CFP platform for speaker submissions, once the CFP opens.
Your information may be stored and processed in the United States and other countries where these providers operate.
4. When we share information
We don’t sell or rent your personal information, and we don’t share it for cross-context behavioral advertising. We share it only in these cases:
- With our service providers, as described above.
- With sponsors, only when you choose. Sponsors never receive the attendee list. A sponsor gets your details only if you let them scan your badge at their table or give your details to them directly. After that, their use of your information is covered by their own privacy policy.
- Survey results, in aggregate only. Sponsors, partners, and the press may see aggregated survey results, sometimes shortly before we publish them. They never receive individual responses or respondents’ contact details.
- Speaker information is public by design. If you’re accepted as a speaker, we publish your name, photo, bio, and talk details on the site and in event materials.
- For legal or safety reasons, when required by law or to protect the safety of attendees, staff, or the public.
- If the business changes hands. If HOC Events is involved in a merger, acquisition, or sale of assets, your information may transfer as part of it and stays subject to this policy.
5. Photos and recordings at the event
We record sessions and take photos and video in public event spaces. We use them to share the talks, report back to sponsors, and promote future events. By attending, you understand that you may appear in wide shots of the audience or the venue.
If you’d rather not be photographed, pick up a no-photo lanyard or sticker at registration, and our photographers will do their best to avoid featuring you. You can also email us afterwards to ask us to remove a specific photo you’re identifiable in.
6. Cookies
Our website uses cookies and similar technologies for three purposes:
- Essential cookies make the site and forms work, such as security and session cookies. These can’t be switched off.
- Analytics cookies (

When you first visit, a banner lets you accept, decline, or manage cookies. The site will still work, although some features may not. You can also opt out of Google Analytics across all sites with Google’s browser add-on at tools.google.com/dlpage/gaoptout.
We do not use advertising cookies or tracking pixels from ad networks or social platforms.
7. How long we keep it
- Email list: until you unsubscribe. After that, we keep only your email address on a suppression list so we don’t email you again.
- Inquiries, applications, and CFP submissions: up to 3 years, so we can follow up and plan future editions. Then we delete them or make them anonymous.
- Individual survey responses: up to 2 years after the survey closes, so we can compare results year over year. Then we delete them. Aggregated results we’ve published may be kept indefinitely.
- Registration and payment records: as long as tax and accounting rules require, typically up to 7 years.
- Photos and recordings: may be kept and published indefinitely as part of the event archive.
- Code of Conduct reports: kept confidentially for as long as needed to keep future events safe.
8. Your choices and rights
You can always unsubscribe from any list using the link in the email, ask for a copy of the personal information we hold about you, or ask us to correct or delete it (unless we need to keep it for legal or accounting reasons). You can change your cookie choices at any time, as described in section 6.
